Business Office Manager - Abbotsford, BC

POSITION:  Business Office Manager

RESPONSIBLE TO: Controller / Chief Operating Officer / President

SUPERVISES: Reception

 

QUALIFICATIONS:

  1. Completion of recognized accounting program
  2. Knowledge of computerized office, accounting, payroll, and resident information systems
  3. Knowledge of Health Care funding systems and reporting requirements
  4. Ability to work with others in a ‘team’ environment
  5. Ability to build and maintain effective working relationships with staff, residents, clients, families, and external agencies
  6. Ability to manage and prioritize tasks

DUTIES:

  1. Ensure the timely and accurate completion of all accounting functions for facility operations.
  2. Maintains the resident trust account systems within legislative requirements and facility policies.
  3. Prepares and distributes timely and accurate monthly financial statements.
  4. Completes quarterly reports to funding agencies, annual audit working papers and ad hoc reports required
  5. Prepares cost projections and, in consultation with the Executive Director and Controller, annual capital and operating budgets for all facility operations.
  6. Maintains an effective and efficient employee scheduling and payroll system
  7. Counsels and supports residents and/ or families who have financial questions or concerns.
  8. Ensures family and resident questions or complaints are dealt with in a timely fashion.
  9. Ensures payment to all suppliers are completed and documented appropriately.
  10. Ensures that information regarding residents and their accounts is held in strict confidence.
  11. Participates as a member of the Senior Leadership Committee

PERSONNEL

  1. Maintains a sound working knowledge of BCNU and HEU Collective Agreements as applicable for payroll and staffing issues. Follows Employment Standards, Human Rights, and WCB Regulations and requirements
  2. Liaises with WCB and benefit carriers regarding benefits under the collective agreements, and acts as a resource to staff on related matters
  3. Consults Regulation requirements and facility policies

GENERAL

  1. Provides oversight and direction as required to ensure the efficient and effective handling of Financial services

Receptionist / Marketing Assistant - Abbostford, BC

Sunday – Thursday, $17.41 per hour

POSITION:  Reception/Marketing Assistant

RESPONSIBLE TO:  Business Office Manager

 ACCOUNTABILITY OBJECTIVE

 

Reporting to the Business Office Manager, the Receptionist clerk is the first point of contact for walk in traffic and phone calls to the home. The receptionist/front desk clerk responds to telephone and verbal inquiries and requests for information about the home. He/She performs a variety of tasks within this scope including co-ordinating information regarding tours for the Resident Lifestyles Manager.

He/She assists resident and. family members with receiving of rent payments and providing information about, and monies from, trust accounts on resident/family member request. He/She may also have responsibility for ensuring contract packages, and other documents are copied for use, and a good supply maintained of all print materials.

The receptionist may perform other duties of a business office nature and works according to established standards, policies and procedures for the home.

QUALIFICATIONS:

  • Completion (from an accredited educational institution), of a diploma/certificate program of training such as Medical Office Transcriptionist, Unit Clerk, Business Office Assistant or equivalent preferred.
  • Must have above average computer skills and good working knowledge of computer programs utilizing spreadsheets, as well as ability to perform word processing and mail merge, excel and Microsoft word.
  • Must have typing speed of 55 wpm.
  • Must understand principles of staff scheduling and be able to input and adjust schedules as required both manually and on the computer.
  • 2 Years experience in a similar position preferred. May consider a combination of education and experience.
  • Demonstrates excellent communication skills both written and verbal and will have a good understanding of senior’s care.
  • Demonstrates confidence in working with the public in a busy fast paced environment.
  • Must be a self-directed individual who can work independently and manage time well.
  • Must have maturity and good physical and mental health, empathy, patience and  tact.
  • Seeks out opportunities to maintain competency and continued learning.

 

DUTIES:

The Receptionist will report to the Business Office Manager and the Executive Director. The Receptionist presents a professional image to the public both in dress and department.

Reception Duties:

  1. Acts as the first point of contact either by telephone or through face to face interaction at the front desk.
  2. Answers the telephone in a professional manner and provides information if able, or re-routes call to appropriate individual(s).
  3. Ensures that information pamphlets about the home are available and restocked at front desk.
  4. Completes photocopying, filing, posting and completes other requests for managers on site
  5. Completes monthly and weekly audits and ensures supplies of forms for home including resident and family handbook.
  6. Orders office supplies on line as per Business Office Manager/Executive Director. May assist with ordering clinical supplies for Care Service Manager.
  7. Keeps front desk area tidy and ensures that confidential materials are not within view.
  8. Receives mail for residents at the home and delivers same.
  9. Assists Assisted Living Residents with questions they may have, or any concerns or complaints. Ensures appropriate document is completed for any complaints and gives same to the Executive Director
  10. Posts memos as directed and removes old memos in a timely fashion.

Resident Account Duties:

  1. Receives monthly rent checks from residents/family members and generates receipt if requested including input into Point Click Care.
  2. Compiles resident trust account statements and ensures these go out monthly to the resident, family member, or POA as directed. Directs requests to the Business Officer Manager.
  3. Assists with ensuring that all portions of the Resident Admission Contract are complete and files same in Resident file.

Customer Service/Tour Duties:

  1. Is knowledgeable of the Resident Bill of Rights and endeavours to respect and

promote. Ensure resident satisfaction and promotion of continuous quality improvement.

  1. Works with the admission team to facilitate new resident admissions.

WORKING CONDITIONS

Considerable sitting. Exposure to resident elements through regular resident contact. Stress resulting from dealing with resident care needs and time pressures. Considerable concentration required during preparation and administration of duties in a fast paced environment with frequent interruptions.

PHYSICAL REQUIREMENTS

  • Must be able to sit for several hours at a time.
  • Proven ability to stretch, lift and walk on a regular basis.
  • Other physical abilities as required to perform the duties of the position.

  9. In the event of a fire or disaster affecting the facility, assumes responsibility for the direction and deployment of all on-duty staff to ensure the safety of all residents while considering staff safety. Coordinates with outside agencies as needed (e.g. Fire Dept., PEP, etc.)
  10. Responds to emergency calls from Assisted Living in the absence of the Director of Resident Care.

Interdisciplinary:

  1. Consults with members of the interdisciplinary team and accesses available external resources as needed.
  2. Participates in Medication Review Meetings with the Pharmacist and Medical Coordinator.
  3. Participates in other external/internal working groups as needed.
  4. Works cooperatively with other members of the nursing team, liaises with family and physicians.

Leadership:

  1. Functions as nursing team leader: provides clinical direction to staff to meet care requirements of residents and coordinates implementation of the care plan, Ensures completion of resident care tasks and maintains appropriate documentation.
  2. Provides instruction to ancillary staff in patient care tasks and procedures.
  3. Arranges and oversees orientation of new ancillary staff. Participates in the orientation of professional staff.
  4. Communicates any clinical or administrative issues with the Director of Resident Care. Provides verbal or written information on staff performance.  Provides supporting information for Performance Appraisals.
  5. Ensures Trillium Care Communities’ standards, policies and procedures are adhered to and that all equipment and related resources (i.e. lifts, linens and incontinence products) are available, used appropriately and in good working order.
  6. In the absence of the management staff, assumes responsibility for the safety and security of the building and residents of Assisted Living and Complex Care. The Nurse is in charge of all staff as well as the physical plant.  In the event of a critical incident, the Manager on call will be kept informed.
  7. Provides input on training needs, policies and procedures to the Director of Resident Care.

  1. Maintains currency in practice knowledge by performing annual self-assessment and development of a learning plan as required by CRNBC.

LPN’s work to their full scope of practice and this includes but may not be limited to:

  1. The receiving and transcription of physician’s orders using a prescribed tool such as SBAR.
  2. Ensures that orders are correctly processed, recorded and acted on.
  3. Medication Administration to the full scope of practice as stated by the CLPNBC.
  4. Provides emotional support and comfort to clients and their family. The pronouncement of expected death as per the LPN scope of practice as set forth by CLPNBC.
  5. LPN’s will be responsible for coordinating and supervising others who will deliver direct care, such as the Care Aides.
  6. Provides personal care such as assisting clients with bathing, dressing, care of skin and hair, assists with changing beds, toileting and ensuring client exercise programs are carried out as directed.
