Executive Director: Long Term Care

This role is an exceptional opportunity for an energetic, motivated individual with at least four years of management experience in the Long Term Care industry. The successful candidate possesses strong organizational and customer service skills as well as experience working in an unionized environment. Sound knowledge of British Columbia Residential Care and Assisted Living legislation is essential. Drawing on your extraordinary leadership, communication, and analytical skills, your responsibilities will include, but are not limited to, the following:

Major Responsibilities:

Responsible for the overall management of the Long Term Care community, including directing, organizing and evaluating the day to day operations in a unionized environment.

Responsible for ensuring a high standard of holistic, resident centered health care service to the residents of the community with the resources available.

Facilitates the development, implementation and evaluation of the long-range (strategic) plan in conjunction with the senior management team.

Develops with the senior management team, policies and objectives to achieve the mission and goals of the community.

Responsible for liaison with Licensing, Supervisor, and Corporate Headquarters.

Scope, Authority, Terms of Reference:

The Executive Director provides leadership and direction for the operations of all programs, services within the community and directly supervises the resident care including support services, maintenance and business office.

The Executive Director is responsible for all facility-wide departmental operations, programs, and services of the community.

Specific Responsibilities:

Management:

Develops organizational structure and communicates the details to the staff.

Establishes an effective communication network with residents, families, physicians, staff, community agencies, other health care facilities, licensing and funding authorities.

Implements the mission, philosophy of care, and leadership philosophy in conjunction with senior management team and the resident family council.

Ensures the principal functions and annual objectives for each service/function/department is met.

Ensures that there are sufficient numbers of qualified staff to meet the needs of residents and to fulfill the mission of the community

Ensures that orientation, staff development and continuing education programs are available to all staff and works with departmental managers to identify staff education needs.

Participates on management, quality improvement and medical advisory committees and other committees/teams internal and external as appropriate.

Ensures the implementation and evaluation of the facility’s quality improvement, risk management and occupational health and safety activities.

Ensures that the facility is compliant with applicable legislation and regulations.

Financial:

Prepares the organizational budget in conjunction with the Business Manager and input from other departmental managers.

Administers and operates within the approved budget for financial control, personnel management and resident care programs and ensures optimum utilization of resources.

Approves all purchasing, support service, maintenance and consultant contracts for the community and its programs.

Human Resources:

Hires management personnel and defines management authority and responsibilities.

Responsible for orientation, supervising, evaluating, discipline, and terminating all department managers.

In conjunction with the specific department manager, participates in the recruitment, screening, hiring, training, supervising and discipline of staff members where and when appropriate.

Interprets organizational human resources, policies and collective agreements as required.

Resident Care Programs and Services

Ensures that the standards of care provided at the facility are consistent with the mission and philosophy of care.

Ensures compliance with federal, provincial and municipal laws and regulations and ensures inspection reports are reviewed, followed up and communicated to management staff.

Appoints the position of Medical Advisor for the community.

Approves contracts for resident medications (Pharmacist), Medical Advisor, Podiatrist, and Hairdresser.

QUALIFICATIONS:

Education and Experience

Baccalaureate degree in a field of study relevant to the operation of medium care facility including or supplemented by recognized courses in administration and/or health care; and four years relevant managerial experience .

Certificate in Long Term Care Management from the Canadian HealthCare Association an asset but not a requirement

Experience as a Registered Nurse an asset, a Master’s Degree an asset

Minimum of four years experience in a similar position in Long Term Care or equivalent position in health care an asset but not a requirement.

Demonstrated skill in the management of financial and human resources in health care.

Certificate in Science of Improvement (i.e. Lean/Six Sigma) an asset but not a requirement.

Personal/ Special Requirements

Must possess the personal qualities and attitudes that respect and maintain the spirit, dignity and individuality of the residents and staff.

Receptionist / Marketing Assistance - Abbotsford, BC

 

Sunday – Thursday – HEU Position – $17.41 per hour

RESPONSIBLE TO: Business Office Manager

ACCOUNTABILITY OBJECTIVE

Reporting to the Business Office Manager, the Receptionist clerk is the first point of contact for walk in traffic and phone calls to the home. The receptionist/front desk clerk responds to telephone and verbal inquiries and requests for information about the home. He/She performs a variety of tasks within this scope including co-ordinating information regarding tours for the Resident Lifestyles Manager.

He/She assists resident and. family members with receiving of rent payments and providing information about, and monies from, trust accounts on resident/family member request. He/She may also have responsibility for ensuring contract packages, and other documents are copied for use, and a good supply maintained of all print materials.

The receptionist may perform other duties of a business office nature and works according to established standards, policies and procedures for the home.

QUALIFICATIONS:

  • Completion (from an accredited educational institution), of a diploma/certificate program of training such as Medical Office Transcriptionist, Unit Clerk, Business Office Assistant or equivalent preferred.
  • Must have above average computer skills and good working knowledge of computer programs utilizing spreadsheets, as well as ability to perform word processing and mail merge, excel and Microsoft word.
  • Must have typing speed of 55 wpm.
  • Must understand principles of staff scheduling and be able to input and adjust schedules as required both manually and on the computer.
  • 2 Years experience in a similar position preferred. May consider a combination of education and experience.
  • Demonstrates excellent communication skills both written and verbal and will have a good understanding of senior’s care.
  • Demonstrates confidence in working with the public in a busy fast paced environment.

DUTIES:

The Receptionist will report to the Business Office Manager and the Executive Director. The Receptionist presents a professional image to the public both in dress and department.

Reception Duties:

  • Acts as the first point of contact either by telephone or through face to face interaction at the front desk.
  • Answers the telephone in a professional manner and provides information if able, or re-routes call to appropriate individual(s).
  • Ensures that information pamphlets about the home are available and restocked at front desk.
  • Completes photocopying, filing, posting and completes other requests for managers on site
  • Completes monthly and weekly audits and ensures supplies of forms for home including resident and family handbook.
  • Orders office supplies on line as per Business Office Manager/Executive Director. May assist with ordering clinical supplies for Care Service Manager.
  • Keeps front desk area tidy and ensures that confidential materials are not within view.
  • Receives mail for residents at the home and delivers same.
  • Assists Assisted Living Residents with questions they may have, or any concerns or complaints. Ensures appropriate document is completed for any complaints and gives same to the Executive Director
  • Posts memos as directed and removes old memos in a timely fashion.

Resident Account Duties:

  • Receives monthly rent checks from residents/family members and generates receipt if requested including input into Point Click Care.
  • Compiles resident trust account statements and ensures these go out monthly to the resident, family member, or POA as directed. Directs requests to the Business Officer Manager.
  • Assists with ensuring that all portions of the Resident Admission Contract are complete and files same in Resident file.

Customer Service/Tour Duties:

  • Is knowledgeable of the Resident Bill of Rights and endeavours to respect and

promote. Ensure resident satisfaction and promotion of continuous quality improvement.

  • Works with the admission team to facilitate new resident admissions.

WORKING CONDITIONS

Considerable sitting. Exposure to resident elements through regular resident contact. Stress resulting from dealing with resident care needs and time pressures. Considerable concentration required during preparation and administration of duties in a fast paced environment with frequent interruptions.

PHYSICAL REQUIREMENTS

  • Must be able to sit for several hours at a time.
  • Proven ability to stretch, lift and walk on a regular basis.

  4. Works cooperatively with other members of the nursing team, liaises with family and physicians.

Leadership:

  1. Functions as nursing team leader: provides clinical direction to staff to meet care requirements of residents and coordinates implementation of the care plan, Ensures completion of resident care tasks and maintains appropriate documentation.
  2. Provides instruction to ancillary staff in patient care tasks and procedures.
  3. Arranges and oversees orientation of new ancillary staff. Participates in the orientation of professional staff.
  4. Communicates any clinical or administrative issues with the Director of Resident Care. Provides verbal or written information on staff performance.  Provides supporting information for Performance Appraisals.
  5. Ensures Trillium Care Communities’ standards, policies and procedures are adhered to and that all equipment and related resources (i.e. lifts, linens and incontinence products) are available, used appropriately and in good working order.
  6. In the absence of the management staff, assumes responsibility for the safety and security of the building and residents of Assisted Living and Complex Care. The Nurse is in charge of all staff as well as the physical plant.  In the event of a critical incident, the Manager on call will be kept informed.
  7. Provides input on training needs, policies and procedures to the Director of Resident Care.

Personal:

  1. Maintains currency in practice knowledge by performing annual self-assessment and development of a learning plan as required by CRNBC.
  2. Performs other related duties.

QUALIFICATIONS:

  1. Health care aide training including registration with the BC Care Aide & Community Health Worker Registry.
  2. Previous experience in a residential care setting preferred.
  3. Ability to work as a member of a multi-disciplinary team.
  4. Fluency in oral and written English.
  5. Neat appearance and able to physically manage the requirements of the position.
  6. Certification in WHIMS and Foodsafe; first aide certification preferred.

DUTIES:

  1. Under the direction of the team leader, carry out the day to day care of residents including hygiene, bathing, dressing, and feeding. Manage resident incontinence.

  3. Report any unusual occurrences to the team leader including changes in resident condition or behaviour.
  4. To be aware of all resident activities and enable residents to attend the programs.

LPN’s work to their full scope of practice and this includes but may not be limited to:

  1. The receiving and transcription of physician’s orders using a prescribed tool such as SBAR.
  2. Ensures that orders are correctly processed, recorded and acted on.
  3. Medication Administration to the full scope of practice as stated by the CLPNBC.
  4. Provides emotional support and comfort to clients and their family. The pronouncement of expected death as per the LPN scope of practice as set forth by CLPNBC.
  5. LPN’s will be responsible for coordinating and supervising others who will deliver direct care, such as the Care Aides.
  6. Provides personal care such as assisting clients with bathing, dressing, care of skin and hair, assists with changing beds, toileting and ensuring client exercise programs are carried out as directed.

  8. Participates as a member of the interdisciplinary team by assisting in the development, implementation, assessment and evaluation of client care plans.
