Implements and provides direction to volunteer programs.

 DUTIES:

 The duties of the Activity Coordinator include but are not limited to the following:

  1. Under the supervision of the Director of Care, researches, plans, implements and evaluates a variety of activities to assist in meeting the residents’ social, recreational, intellectual and physical needs.
  2. Plans for and schedules entertainment, volunteers, students, companions and special events including decorating the home.
  3. Escorts residents to special events and community outings.
  4. Consults with family and multidisciplinary team to determine the recreational needs of Residents and plans individual and group activities.
  5. Maintains equipment and work areas.
  6. Provides direction to coop students, volunteers and companions.
  7. Observes and reports changes in residents’ abilities, emotional well-being and social behaviours to the Resident Care team.
  8. Assesses residents’ and clients’ needs and develops, implements, monitors and evaluates comprehensive activation, day and outreach programs to meet those needs. Documents assessments on resident and client records. Notes any changes on the care plan related to activity program involvement.
  9. Identifies need for, recruits, screens, selects, trains, coordinates and monitors volunteers to support resident, client and outreach programs and terminates volunteers as necessary. Ensures appropriate documentation is maintained.
  10. Monitors expenditures and takes corrective action where necessary.
  11. Participates in resident care conferences.
  12. Maintains up to date records regarding resident activity attendance and use of additional services.
  13. Liaises with local clergy regarding services at Douglas Care.
  14. Maintains working knowledge of relevant legislation and regulations including Island Health directives, Public Guardian and Trustee Act, Employment Standards Act, Human Rights Legislation, WorkSafe BC Regulations, WHMIS, Douglas Care Policies and Procedures.
  15. Promotes, positive communication, cooperative working relationships and good public relations within and outside the facility.
  16. Organizes the Resident and Family Council Meetings and ensure meeting minutes are distributed to the facility and interested families.
  17. Consultation regarding equipment and supplies for the delivery of activities.

SUMMARY OF JOB RESPONSIBILITIES

Utilizing a variety of specialized computer software applications and working in a time sensitive, deadline driven environment, the Administrative Coordinator functions as a frontline member of the home and deals with residents, staff and public.

DUTIES

  1. Allocates and calls in relief staff to fill planned leaves, ongoing and short-call

vacancies and workload requests in accordance with established Staffing Services processes, and policies and procedures.

  1. Reference to collective agreements to ensure compliance.
  2. Performs a variety of staffing duties, such as:
  • Receiving and entering employee information and status, such as name, address, contact numbers, suitability for work, orientation and skills status,   hours worked, etc. into computerized scheduling system; gathering and entering for a 24 hour multi-department facility.
  • Posts positions in accordance with collective agreement and implements schedule changes
  • Scheduling for planned and unplanned absences;
  • Recording daily and relief staffing and schedule changes;
  • Investigating pay inquires;
  • Making timekeeping adjustments in computerized scheduling program;
  • Generating scheduling, staffing and timekeeping records and data/statistics for retention; and
  • Filing and maintaining records, such as phone logs, schedules, timecards, flow sheets and approved vacation and leave of absence forms.
  • Ensures employees meet annual and regular registrations with professional bodies as applicable, ensures checks are recorded in personnel files
  • Preparation of hire packages
  • Notifies Executive Director regarding incremental increases of employees for approval

  1. Answers the telephone, recording and relaying messages as required. Answers routine inquiries, including emails and faxes, relating to staffing and timekeeping.
  2. Audit and maintain confidential resident & staff information files and lists.
  3. Performs a variety of related general clerical duties such as word processing and spreadsheet data entry and creation, filing and photocopying, as required.
  4. Manage, maintain stock and order supplies throughout the building
  5. Participates on committees as required. Responsible to maintain OH & S committee meeting minutes
  6. Preparation of sales/marketing admission materials

  9. Complies with all relevant legislation and regulations

This role is an exceptional opportunity for an energetic, motivated individual with at least four years of management experience in the Long Term Care industry. The successful candidate possesses strong organizational and customer service skills as well as experience working in a unionized environment. Sound knowledge of British Columbia Residential Care and Assisted Living legislation is essential. The Executive Director provides leadership and direction for the operations of all programs, services within the communities and directly supervises the resident care including support services, maintenance and business office.

The Executive Director is responsible for all facility-wide operations, programs, and services of the communities.

Drawing on your extraordinary leadership, communication, and analytical skills, your responsibilities will include, but are not limited to, the following:

RESPONSIBILITIES:

  • Responsible for the overall management of the Care Communities, including directing, organizing and evaluating the day to day operations in a unionized environment.
  • Responsible for ensuring a high standard of holistic, resident centered health care service to the residents of the communities with the resources available.
  • Develops with the team, policies and objectives to achieve the mission and goals of the communities
  • Responsible for liaison with Licensing and Corporate Headquarters.

SPECIFIC RESPONSIBILITIES:

Management:

  • Develops organizational structure and communicates the details to the staff.
  • Establishes an effective communication network with residents, families, physicians, staff, community agencies, other health care facilities, licensing and funding authorities.
  • Implements the mission, philosophy of care, and leadership philosophy in conjunction with the team and the resident family council.
  • Ensures the principal functions and annual objectives for each service/function is met.
  • Ensures that there are sufficient numbers of qualified staff to meet the needs of residents and to fulfil the mission of the communities
  • Ensures that orientation, staff development and continuing education programs are available to all staff.
  • Participates on quality improvement and medical advisory committees and other committees/teams internal and external as appropriate.
  • Ensures the implementation and evaluation of the facility’s quality improvement, risk management and occupational health and safety activities.
  • Ensures that the facility is compliant with applicable legislation and regulations.

Financial:

  • Administers and operates within the approved budget for financial control, personnel management and resident care programs and ensures optimum utilization of resources.
  • Approves all purchasing, support service, maintenance and consultant contracts for the communities and its programs.

Human Resources:

  • Responsible for hiring, orientation, supervising, evaluating, discipline, and terminating of all staff members.
  • Interprets organizational human resources, policies and collective agreements as required.

Resident Care Programs and Services

  • Ensures that the standards of care provided at the facility are consistent with the mission and philosophy of care.
  • Ensures compliance with federal, provincial and municipal laws and regulations and ensures inspection reports are reviewed, followed up and communicated to management staff.
  • Approves contracts for Podiatrist, and Hairdresser

QUALIFICATIONS:

Education and Experience

  • Baccalaureate degree in a field of study relevant to the operation of medium care facility including or supplemented by recognized courses in administration and/or health care; and four years relevant managerial experience.
  • Certificate in Long Term Care Management from the Canadian HealthCare Association an asset but not a requirement
  • Minimum of four years’ experience in a similar position in Long Term Care or equivalent position in health care an asset but not a requirement.
  • Demonstrated skill in the management of financial and human resources in health care.
